For Foreign Researchers visiting Kagoshima University

From March 2022, immigration restrictions to Japan have been lifted. Foreign researchers need to apply for entry to Japan through the university by Entrants, Returnees Follow-up System ("ERFS"). Please do not book your ticket or hotel until your visa has been issued from the overseas diplomatic mission of Japan.

For the new entry of a foreign national to Japan;

  1. Before entry to Japan, Kagoshima University must first log in to the Ministry of Health, Labour and Welfare's Entrants, Returnees Follow-up System (ERFS), apply in advance online, enter information related to your entry to Japan (including accommodations for quarantine), and you must agree to the terms of a Written Pledge.
  2. After the necessary items are entered, a Certificate for Completion of Registration (PDF) will be issued. We will send the Certificate for Completion of Registration to you before you depart for Japan.
  3. You must present your Certificates for Completion of Registration to an overseas diplomatic mission of Japan, with your visa application materials. After that, the overseas diplomatic mission of Japan will review it and issue a visa.
  4. After entry to Japan, in addition to confirming the health status of the entrant to Japan, location data, and the like through MySOS (the Health and Location Monitoring App for Overseas Entrants), our university must confirm your health status while you quarantine at a facility, and we must contact a medical facility if you become symptomatic or COVID-19 positive, and provide other required supervision and support.

Getting Prepared for Departure

  • Apply for a Visa
    Collect the following documents and apply for a visa at the Japanese embassy, consulate, or consular office in your country / region.
    -Certificate of Registration to ERFS that was sent from the university
    -Declaration, for those whose Certificate of Eligibility issued more than 3 months ago, that was also sent from the university
    -Other required documents to apply for a visa
  • Obtain an Air Ticket
    After obtaining your visa, make reservations for a flight ticket. To avoid congestion, flight arriving to Japan between Monday and Thursday is strongly recommended.
  • Accommodations Reservation during the Quarantine Period
    Please consult with your host faculty member at the university to reserve accommodations for the quarantine period after entering Japan. The quarantine period will be determined according to the country you depart from, and if you are vaccinated or not. Staying at a friend's house in Japan will not be accepted. In addition, during the quarantine period, the university's accommodation for foreign researchers, "International Lodge", is not available.
  • Purchase a Medical Insurance
    Purchase an insurance such as a travel insurance that covers medical fees including COVID-19 treatments during your stay in Japan. The university cannot take any responsibility for your medical expenses during your stay including quarantine period.
  • Get Proof of a Negative COVID-19 Test
    Get a PCR test within 72 hours prior your departure. Obtain proof of negative COVID-19 test in the designated format. You must present it to an immigration officer upon your arrival to Japan.

  • Check quarantine measures
    The quarantine measures that apply to you depend on where you stayed before entering Japan and whether or not you have received a third vaccine dose. Please check which quarantine measures applicable to you.

  • Install MySOS App. On Your Smartphone
    Install the MySOS app designated by the Ministry of Health, Labor and Welfare on your smartphone. You will need it to report your health conditions during the quarantine.

Information for entering Japan

  • Requirements for Entering Japan
    The following things are required to enter Japan;
  1. Passport
  2. Certificate of Eligibility (the original document)
  3. Proof of a negative PCR test (Certificate of Testing for COVID-19 (Format))
  4. Written Pledge (Individual) (addressed to the Minister of Health, Labor and Welfare)
    Those who are eligible to stay at accommodations arranged by the quarantine station or directed to quarantine at home, etc., are required to submit a "written pledge" to the quarantine station.
  5. Submission of Questionnaire
    If Fast Track is not available, you must complete the questionnaire in advance. Please answer the web-based questionnaire and create a QR code, then save the QR code as a screenshot or print it out, and present it at the time of quarantine.
    Please be sure to register an email address and telephone number that you are available in Japan in the questionnaire. If you do not have a telephone number that can be available in Japan, please register the contact information of your host faculty member.
    * The quarantine officer will check if the MySOS app is correctly installed on your phone at the airport upon your arrival. In case the app is not downloaded or does not run correctly, you will be required to rent a smartphone with a charge at the airport. Install the app and verify if it runs correctly before you depart from your country.
  • FAST TRACK and VISIT JAPAN Web SERVICE
    At Narita International Airport, Haneda Airport, Chubu Centrair International Airport, Kansai International Airport and Fukuoka Airport, "Fast Track" (app) and "Visit Japan Web Service" (browser) allow visitors to complete quarantine, immigration, customs declaration, and other procedures that are normally completed on paper after arrival at the airport to be completed digitally before arrival. Since quarantine and immigration procedures often take long time, please check the following websites carefully and prepare for their use in advance.

  • Report your health conditions through "MySOS"
    Please report your health conditions during the quarantine through MySOS App.
  • Regarding the self-COVID-19 test on the third day or later while quarantining at home/accommodations
    After the third day while quarantining at home/accommodations, a self-COVID-19 test or quantitative antigen test should be conducted, and then, submit your negative test result through "MySOS" to the Health Monitoring Center for Overseas Entrants. At the earliest, quarantine will be unnecessary from the fourth day onward if you receive a "notice of the completion of quarantine" from the Center. The self-COVID-19 test should be conducted by the laboratories listed on the Ministry of Health, Labour and Welfare website.

  • Start of research at Kagoshima University
    After the end of the quarantine period, research activities at the university will become possible. However, please observe your health check for two weeks after your arrival in Japan.
